Start a pilot of harmon.ie Outlook

harmon.ie for Outlook Knowledge Base - Enterprise Edition

Follow this procedure to install harmon.ie for a pilot group or for the whole organization:

  1. Obtain your installation package.
  2. Customize the harmon.ie installation:
    1. Provision SharePoint sites for users.
    2. Hide SharePoint libraries and technical lists from users.
    3. Restrict sites to users.
    4. Rebrand harmon.ie.
    5. Manage harmon.ie settings.
  3. Configure email mapping.
  4. Install harmon.ie for a group of users.
  5. To integrate with Teams channels, run harmon.ie SmartAssistant™ setup
  6. Provide training material.

Obtain your installation package

  1. Sign into your harmon.ie Enterprise download area. It is recommended to use Internet Explorer.
    Use the username and password you received in the harmon.ie Order Fulfillment email.
  2. The first time you access the download area, you need to accept the harmon.ie EULA.
    If you experience any problems accessing the download area, or accepting the EULA, please contact harmon.ie support.
  3. To download harmon.ie for Outlook, locate the table harmon.ie for Outlook – user <version>, and click the first link – Outlook Edition: Installation package(s) and License File.
  4. A zip file is downloaded for you. Once extracted, you will see 3 files:
    • HarmonieSharePointSetup.Ent.licensed.exe
    • HarmonieSharePointSetup.x64.Ent.licensed.msi (for 64 bit Office)
    • HarmonieSharePointSetup.x86.Ent.licensed.msi (for 32 bit Office)

The harmon.ie license key is embedded in the MSI files. The executable file is running the MSI file that matches your Office version (64 or 32 bit).
Note: Once downloaded, if you do not wish to customize the harmon.ie installation file, you may distribute the zip file internally to all pilot users.

Customize the harmon.ie installation

For a small group of users:

To experiment with customizing harmon.ie, or when installing harmon.ie for a small group of users, you can add and edit the harmon.ie registry keys manually, or send a .reg file to all users.

For a large group of users, or for the whole organization:

The harmon.ie customization tool is the recommended method to customize the harmon.ie installation file. Download and extract the tool as explained in the article, and then edit the customize.xml file which includes all the keys that affect the harmon.ie installation.

Note: Customizing, pre-configuring, and centrally installing harmon.ie usually requires support from your IT group.

harmon.ie provisioning keys:

To review the full list of keys, read Provision harmon.ie for Outlook to all users. We recommend that you start by setting the following keys:

  • Sites: Set initial SharePoint sites for users. This simplifies starting to work with harmon.ie, as users can immediately see their documents.

    There are other ways to configure sites for users:
    • You can provision different sites to different groups of users, using the Published Links mechanism in SharePoint’s profile service. Read all about it here.
    • You can add Sites I’m following to users’ sites list, by setting the ShowFollowedSites key (see below).
    After provisioning a new site for users, they can click the Refresh button () in the All Locations view to update their site list (in harmon.ie 6.5 or later).
  • DefaultSocialServer: Set the SharePoint site that is used as the social server – this is the SharePoint server running the User Profile service application. By defining this site, users have access to these social features:
  • HideSocialFromNavigation: Set to True if the social server does not include documents and should be hidden from the sites list.
  • ExcludeLibraryByNameFilter: Hide SharePoint libraries and technical lists non-relevant to the users. For example: Site Assets, Form Templates, and Style Library.
  • If necessary, restrict SharePoint sites from users. Read Restricting SharePoint sites to users for more information.
  • You can rebrand harmon.ie with your own logo and texts. They will appear in the harmon.ie sidebar and ribbon-buttons. Read Modify harmon.ie labels and images for more information.
  • ShowFollowedSites: Set to True, and then when you follow SharePoint sites from the SharePoint Web page, harmon.ie automatically shows these Sites I'm following in the Sites list.

  • SyncFavoritesWithMyLinks: Set to Document Libraries to add the links defined in the Document Libraries group of My Links to the favorites list in harmon.ie.
  • MoveEmailOnDrag: Set to True to delete email messages uploaded to SharePoint, or to False to leave them in the Inbox as well as on SharePoint.
  • UniqueEmailName: Set to True to save email messages to SharePoint with a unique name.

Configure email mapping

When users upload email messages to SharePoint, email headers (From, To, CC, Subject, Date, etc.) can automatically be mapped to SharePoint columns.

To enable this mapping, the SharePoint document library must be set up with email specific columns. We recommend installing the optional SharePoint feature package and library template provided by harmon.ie on your SharePoint Server. In addition, you can automatically assign the email message to a mail content type, even if the mail content type is not the default content type defined for this library. Read Set mail content type when uploading email messages to SharePoint.

Install harmon.ie

For a small group of users:

  1. Distribute the installation package you downloaded from your harmon.ie Enterprise download area.
  2. Send a .reg file containing the harmon.ie provisioning keys you want to set to all users. Instruct users to double-click the reg file in order to apply it.
  3. Instruct users to install harmon.ie by running the executable or the MSI file that matches their Office version.

For a large group of users, or for the whole organization:

Once you run the customization tool, you will receive a few files which you can use to install harmon.ie for a group of users: .reg, .mst, .msi.

The simplest approach is to install the .msi file, which includes all the initial settings you defined. Read Install harmon.ie centrally and remotely to learn how to do this.
