Getting documents into SharePoint is the easy part. Keeping them organized isn't

Most organizations have Microsoft 365. Most content still ends up scattered across inboxes, shared drives, and desktop folders — or lands in SharePoint without the metadata that makes it findable.

The problem isn’t intent. It’s friction:

A SharePoint document management system should solve these problems — not create new ones by asking people to use another browser-based interface.

A File Explorer for all your Microsoft 365 content

harmon.ie gives your team a dedicated desktop app for managing Microsoft 365 content — a full-size, always-available workspace that stays open on your desktop without requiring Outlook or a browser.

For teams that primarily work in Outlook, the same file management capabilities are available as a sidebar inside the inbox. Both are included in a single license.

This is SharePoint document management that fits into how people actually work, not the other way around.

What Is SharePoint Document Management?

SharePoint document management is the practice of storing, organizing, classifying, and retrieving business documents in SharePoint — with proper structure, metadata, versioning, and access control. As a SharePoint document management system, SharePoint provides the storage and governance infrastructure. What it doesn’t provide is a frictionless way for users to interact with it from their daily tools.

harmon.ie extends SharePoint’s document management capabilities with a purpose-built interface — a desktop app and Outlook add-in that bring file management out of the browser and into the tools your team already uses.

SharePoint document management best practices harmon.ie helps enforce:

Why organizations choose harmon.ie for SharePoint document management

Built for people who manage documents, not just access them

SharePoint’s browser UI is built for access. harmon.ie is built for people who spend real time organizing content — a dedicated desktop workspace with all your Microsoft 365 locations in one window, always open, independent of Outlook or a browser.

Metadata that actually gets filled in

The most common failure in SharePoint document management is metadata skipped at filing time. harmon.ie’s property editor, auto-open after save, and bulk editing make classification part of the filing flow — not a follow-up task.

By requiring us to complete mandatory metadata, harmon.ie makes it easier to find important documents.” — Debbie Garrick, Women’s and Children’s Hospital Foundation

Works inside Outlook too

For users who primarily work in their inbox, the same capabilities are available as a sidebar add-in — included in the same license.

Adoption without training

People use SharePoint when harmon.ie is in front of them — not because they were trained to, but because it’s easier than the alternative.

SharePoint Document Management — FAQ

SharePoint document management is the practice of storing, organizing, and retrieving business documents in SharePoint with proper metadata, versioning, and access control. SharePoint provides the governance and storage infrastructure. harmon.ie provides the interface that makes it practical — a desktop app and Outlook add-in that let users manage SharePoint content without navigating to it in a browser.
Yes. SharePoint is one of the most widely used document management platforms in enterprise organizations. It provides libraries, metadata columns, version control, access permissions, retention policies, and search. Its main limitation is that managing content directly in SharePoint requires users to work in a browser outside their primary applications. harmon.ie solves this by bringing SharePoint document management into Outlook and a dedicated desktop app.
The harmon.ie desktop app is a standalone Windows application that provides a dedicated workspace for managing documents across SharePoint, Teams, and OneDrive. It works independently of Outlook — staying open in its own window — and supports uploading, creating, renaming, editing metadata, searching, and sharing content. It’s included in every harmon.ie license alongside the Outlook add-in.
The most commonly cited best practices are: consistent metadata at the point of filing, clear file naming conventions, organized library and folder structures, version control enforcement, and regular governance reviews. harmon.ie directly supports several of these — the inline property editor captures metadata at filing time, file names are editable before content lands in SharePoint, and admin settings can enforce metadata behavior across all users.
harmon.ie’s property editor shows all metadata fields for a SharePoint library, with required fields clearly marked. A configurable setting opens the editor automatically after saving a file — always, only when required fields are missing, or never. Admins can enforce this setting centrally. Bulk editing lets you update multiple files at once. The result is that classification happens at filing time, not as a separate task.
Yes. Document sets are fully supported — you can create and navigate them the same way as in SharePoint. Users can also create new files of any custom content type defined in a SharePoint library, directly from harmon.ie.

Syncing SharePoint to Windows File Explorer — via the OneDrive sync client — creates local copies of your files on your device. Content is cached, disk space is consumed, and each library requires separate sync setup. Microsoft recommends no more than 300,000 items across synced libraries before performance degrades. The harmon.ie desktop app works differently: it connects directly to your Microsoft 365 tenant for real-time access. No local files, no sync engine, no storage consumed on your device. You see the current state of your libraries as they are in the cloud — without anything running in the background.

Yes. The harmon.ie desktop app works independently of Outlook. You can browse libraries, upload and create files, edit metadata, search across your tenant, and share content without Outlook open.
Yes. harmon.ie handles the filing and classification step — moving files into the right SharePoint location with the right metadata. Microsoft Purview’s retention labels, sensitivity labels, and DLP policies apply once content is in SharePoint. harmon.ie ensures content gets to where Purview can govern it.
