Set Up Shared Categories in New harmon.ie
When a user saves an email to Microsoft 365, New harmon.ie adds the Saved in M365 category to their colleagues’ copies, so colleagues see in Outlook that it’s already saved, and where. This article shows admins how to set it up.
What shared categories need
Set the first three in the Admin tab. If a user doesn’t see shared categories, check this list.
- Email automation is on (default): Email automation is set to Enable for all. See Set Up New harmon.ie Email Automation.
- Email categories are on (default): Apply categories to saved emails is on, and users haven’t turned it off in their settings.
- Email header mapping is set up and turned on: Create the email content type is on for SharePoint and Teams, so emails are saved with email header mapping, default or custom. In a location that doesn’t have the email content type yet, the user who saves the email needs at least Edit permission so harmon.ie can create it.
- Outlook categories consent is granted: A Microsoft 365 admin granted consent for Mail.ReadWrite.Shared, MailboxSettings.ReadWrite, and Calendars.ReadWrite.Shared. These are part of the New harmon.ie consent. If your organization granted consent before they were added, see Enable Shared Mailbox Support, Email Categories, and Email with Attachments.
- Colleagues can access the saved location: harmon.ie finds saved emails using SharePoint search, which only returns files the user has permission to view. A colleague who can’t access the location where the email was saved doesn’t get the category.
When do shared categories appear?
Shared categories don’t appear right away. harmon.ie checks for emails that colleagues saved:
- Every hour, while the harmon.ie Desktop app is running.
- Without the Desktop app, while the user works with harmon.ie in Outlook.
harmon.ie finds saved emails using SharePoint search, so a newly saved email shows up only after SharePoint has indexed it.
In Outlook for Mac, the Saved in M365 category is applied but not displayed.
