When uploading email messages to SharePoint using harmon.ie, email headers (From, To, CC, Subject, Date, etc.) can automatically be mapped to SharePoint document properties. To enable this mapping, the SharePoint document library must be set up with email specific columns.
There are two methods to do this:
This article explains the email feature package and how to install and uninstall it.
The email content type includes the following fields, which are added to SharePoint:
|EMAIL HEADER||DESCRIPTION||SHAREPOINT COLUMN TYPE|
|Attachments||Indicates if the email message contains one or more attachments.||Yes/No|
|* Categories||Message categories. Outlook edition only.||Single / multiple lines of text|
|Cc||The identity of the secondary recipients of the message.||Multiple lines of text|
|* Bcc||The identity of the blind recipients of the message. This field is saved to SharePoint only if explicitly set by the administrator. Outlook edition only.||Multiple lines of text|
|* Conversation-Index||A unique identifier for the conversation. Outlook edition only.||Single line of text|
|* Conversation-Topic||The common subject of the email thread. Outlook edition only.||Single line of text|
|Date||The date and time when the message was sent.||Date and Time|
|From||The address of the message sender.||Single line of text|
|* Importance||The message’s importance. Outlook edition only.||Single line of text|
|In-Reply-To||The contents of this field identify previous correspondence that this message answers.||Single line of text|
|* Message-ID||A unique identifier for the message. Outlook edition only.||Single line of text|
|* MessageClass||The type of the item (message, appointment, post, etc.). Used to show the correct item icon. Read Upload Outlook items to learn more. Outlook edition only.||Single line of text|
|MailPreviewData||Stores the message content compressed, for the Show Preview command. It is recommended to set this column with Allow unlimited length in document libraries set to Yes, and Add to default view unchecked (to hide the column). Read Enable email previewing to learn more. Outlook edition only.||Multiple lines of text|
|OriginalSubject||The subject of the email message stripped from the prefixes 'RE:', 'FW:', etc. To learn how to configure the email subject prefixes that will be stripped, read Grouping email messages.||Single line of text|
|* Received||A copy of this field is added by each transport service that relays the message.||Single line of text|
|References||The contents of this field identify other correspondence that this message answers.||Single line of text|
|Reply-To||Indicates any mailbox(es) to which responses are to be sent.||Single line of text|
|Subject||A summary of the message.||Single line of text|
|To||The identity of the primary recipients of the message.||Multiple lines of text|
|* Sensitivity||The message’s sensitivity. Outlook edition only.||Single line of text|
* These columns are not included in the supplied feature package below - you must manually add them to the content type.
The email view provides an Inbox-like display of email messages - including the email headers - stored on SharePoint. The view hides non-email messages from the list, and allows messages to be sorted and filtered by any column.
To download and install the optional email feature package and template, do the following:
Note: If you work with Office 365, skip to step 4.
The mapping between email headers and SharePoint columns is configurable from the mappings list in the harmon.ie Options. To learn more, read:
Upgrading the email content type
Follow the steps below to upgrade an existing email content type and add the OriginalSubject field:
Email messages uploaded to SharePoint through harmon.ie can be grouped by the OriginalSubject field in the SharePoint web interface. This feature allows you to view email messages in a pseudo-conversation view.
During the upload process, the email Subject field is stripped from the common prefixes to the core text, and the stripped subject is saved in the field OriginalSubject.
You can configure which email prefixes will be trimmed from the subject line. To do this, add or edit the registry key EmailPrefixes under harmon.ie root key, and write the prefixes you want to trim in the Value data of (default). Use commas to separate the list.
To save the list of Bcc recipients in SharePoint, add the ExposeBcc registry key under harmon.ie root key, and set its value to True.
Issue: Non-English characters in email headers are not saved correctly to SharePoint.
Cause: Outlook is configured to save messages in ANSI format instead of Unicode format which holds support for international characters.
Resolution: Configure Outlook to save messages in Unicode format:
To remove the email feature from a SharePoint Server, open a command line interface and run the following commands to deactivate and uninstall the feature:
Note: Change the number in the paths above according to your SharePoint Server version (16 for SharePoint 2019 or 2016, 15 for SharePoint 2013, 14 for SharePoint 2010).
If the email feature needs to be reinstalled or updated, deactivate and uninstall the feature before installing it again.
