Getting started with harmon.ie App for Outlook

Welcome to harmon.ie App for Outlook

harmon.ie App for Outlook is an Outlook add-in that allows you to upload email messages and email attachments to SharePoint Online and to add SharePoint Online documents as links and attachments to email messages.

harmon.ie App for Outlook works on Windows, Mac, and Web Browser.

Software requirements for Mac:

  • macOS: High Sierra version 13.3.4 or later.
  • Outlook: Version 15.36 or later.
  • Safari: Version 11.1.1 or later must be installed on the machine.

harmon.ie App for Outlook is available in two editions:

What's new in harmon.ie App for Outlook:

Version 4.4.2 (November, 2018)

  • Added a new Home icon ( ) that navigates from any location to the Documents main page.
  • Show Date and Time fields in document properties, and in the document list, in the machine locale format.
  • Further improved the app loading time, so you can get your work done faster.

Version 4.4.0 (October, 2018)

  • Add a category to uploaded emails, containing the SharePoint location where the email was saved. You must reconnect to Office 365 and accept requested permissions to activate this feature.
  • When browsing, show tool-tips with full path to the SharePoint locations, to help you distinguish between locations with identical names.
  • Hide system libraries (Form Templates, Site Assets, etc) from harmon.ie App. This feature can be provisioned.

To install harmon.ie App for Outlook:

  1. In Outlook 2016, click the Home > Store button () / Get Add-ins and search for harmon.ie.
  2. Slide the switch next to harmon.ie: SharePoint Online Client to On.
  3. Go back to your Inbox and select an email; the harmon.ie add-in appears and is available to use.

  1. Open your browser and go to the harmon.ie: SharePoint Online Client page in the AppSource.
  2. Click the Get it Now button to add the harmon.ie App to your Office 365 account, and follow the installation instructions.
  3. Go back to your Inbox and select an email; the harmon.ie add-in appears and is available to use.

To upload email messages and attachments to SharePoint:

Uploading email messages is an Enterprise Edition feature. With the free version you can upload email attachments.

  1. Select or open the email message, and click harmon.ie: SharePoint Online Client to launch the add-in.
    - or -
    In the Outlook client only, click the Save to SharePoint () icon in the harmon.ie ribbon-button.
  2. Select items to upload. harmon.ie lists the email itself (in EML format) and its attachments. Check the document(s) you want to upload.

  3. Click Next.
  4. If prompted to Connect to Office 365, click Connect and follow the on-screen instructions.
  5. Select the upload location:
    • Sites: lets you browse to a document library/folder/document set.
    • Sites I'm Following: lets you connect and browse to a location in a site you follow in SharePoint.
    • Pinned: lets you select a location you previously pinned.
    • Recent: lets you select a location you recently uploaded to.
  6. Click the Save Here icon () that appears next to available upload locations, or open the location and click the Save to <location> button at the bottom.
  7. If one or more documents with the same name already exists in the location, you are prompted to select between:
    • Keep Both/All: uploads the document(s) with new name(s).
    • Add New Version: uploads the document(s) as a new version.
    • Cancel: cancels the upload operation.
  8. harmon.ie uploads the document(s) and opens the Edit Properties view.
    Select a content type and edit the properties of the email and/or attachments, and then click Save.
  9. If prompted, check in your documents, to make them available to other users.
  10. When the upload process ends, you can select between:
    • Show Links: shows the SharePoint links of the uploaded documents.
      Click the Copy icon ( ) next to a document to copy the link into the Clipboard. Click Close when done.
      Click the harmon.ie icon () next to a document to launch harmon.ie and show the uploaded document info. Click Close when done. This option is available in mobile devices.
    • Reply with Links: opens a new message, addressed to the sender, with links to the uploaded documents in the message body.
    • Finish.

When uploading email messages to SharePoint, the message category shows the SharePoint location where the message was saved.

Email headers (From, To, CC, Subject, Date, etc.) can be automatically mapped to SharePoint columns. To enable this mapping, the SharePoint document library needs to be set up with email specific columns. To learn how to do this, read the knowledge base article Map email headers to SharePoint metadata.
The mapping between email headers and SharePoint columns is configurable from the mapping table in the Settings page.

To add SharePoint documents to email messages:

  1. In a new, replied, or forwarded message, open the harmon.ie add-in:
    In the Outlook client, click the Add from SharePoint icon () in the harmon.ie ribbon-button.
    In the Outlook Web app, click Add-ins > harmon.ie.
    In Outlook mobile app, tap the Actions menu > Add-ins > harmon.ie.
  2. If prompted to Connect to Office 365, click Connect and follow the on-screen instructions.
  3. Select the SharePoint location from which you want to add documents:
    • Sites: lets you browse to a document library/folder/document set and view its documents.
    • Sites I'm Following: lets you connect and browse to a location in a site you follow in SharePoint.
    • Pinned: lets you view a location you previously pinned.
    • Recent: lets you view a location you recently uploaded to.
  4. Click the More icon ( ) next to the document you want to add, and select:
    • Add as Link ( ) to add a link to the document.
    • Add as Attachment ( ) to add the document to the email.
    The icon indicates that the document was added to the message ( ).

To browse to a SharePoint location/document:

  1. Under Documents, click the SharePoint site name () to browse to a location in your Office 365 server, or OneDrive () to browse to a location in your personal drive.
  2. Click Manage Sites to add other site collections. Check the required site collections and then click Done.
  3. Click a sub-site (), document library (), folder (), or document set () to view its content.
  4. To return to the Documents main page from any location, click the Home icon ( ).
  5. To search for locations/documents, click the Search icon ( ) and start typing a name to quickly filter the list by this name. Click the Clear icon ( ) to clear the search text, or Cancel to close the search bar.
  6. To sort the locations/documents, click the Sort icon ( ) and select between Name, Modified, and Default (which sorts by the default sort order of the default SharePoint view).
  7. To create a new SharePoint folder, click the New Folder icon ( ) and supply a name for the folder.
  8. To refresh the current SharePoint location, click the Refresh icon ( ).
  9. Click the Back icon ( ) to browse to the parent location.

To pin/unpin a SharePoint location:

You can quickly navigate to pinned SharePoint locations.

To pin a SharePoint location:

  1. Browse to the location you want to pin.
  2. Click the Pin icon () next to the location name.

To unpin a SharePoint location:

  1. View the location under Documents > Pinned.
  2. Click the Unpin icon () next to the location you want to unpin.

To select content types and properties:

The Edit Properties view allows you to select a content type for the uploaded email and another content type for the uploaded attachments. In addition, you can edit the properties of the uploaded email, and the properties of the uploaded attachments.

  1. If the email is uploaded, click the Email tab, select an Email Content Type from the list and edit the properties. Required properties are marked with a red asterisk ('*').
  2. If the attachments are uploaded, click the Attachments tab, select an Attachments Content Type from the list and edit the properties.
  3. Click Save when done.

Notes:

  • The Email tab > Email Content Types contains the email content types defined in the SharePoint library. If such are not defined, it contains the Document content types.
  • The Attachments tab > Attachments Content Types contains the Document content types defined in the SharePoint library.

To check in a SharePoint document:

If the location to which you uploaded documents requires check in, you are prompted to do so.

  1. If both major and minor versions are being tracked in the document library, select between Minor version (draft) and Major version (publish).
  2. Optionally, check Retain Check Out.
  3. Optionally, supply a check in Comment.
  4. Click Check-in.

To connect or disconnect from Office 365:

  1. Select or open an email message, and open the harmon.ie add-in.
  2. Click the Settings icon ( ).
  3. Click Connect to Office 365 / Disconnect.
  4. Follow the on-screen instructions.
  5. Click Close to exit settings.

To connect to Sites I'm Following:

Note: This option must be enabled by your administrator.

  1. Click Sites I'm Following > Connect.
  2. If prompted, supply your username and password.
  3. When the login process completes, click Close to return to harmon.ie.

To configure email headers mapping:

Note: This option is available in the Enterprise edition unless blocked for editing by your administrator.

  1. Click the Settings icon ( ) in the harmon.ie app.
  2. Click Email Headers Mapping.
  3. Edit the Email Content Types and the SharePoint Columns matching each Email Header. You may supply multiple values, separated by semicolons (;).
  4. Click Save.
  5. Click Documents to exit settings.

To register a license:

Note: You must be connected to Office 365 to register a license.

  1. Click the Settings icon ( ) in the harmon.ie app.
  2. In Windows / mobile: click Upload License, browse and select the license file (.lic) you received from harmon.ie and click Open.
  3. In Mac: Drag the license file to the Drop License Here box.
  4. Click Documents to exit settings.

To view harmon.ie version information:

  1. Click the Settings icon ( ) in the harmon.ie app.
  2. Read the version and edition information in the About section.
