Managing your documents list
A few methods of managing your documents list will help you quickly find your way between all your documents:
- Folders can help you keep your documents organized in your documents list. Similar to your local machine, folders hold files, and other folders (subfolders). As opposed to Windows, in harmon.ie for Google Docs a document can be assigned to more than one folder. To learn more, read Creating folders and assigning documents to folders.
- Stars. When you mark a document or a folder with a star, you can easily locate it later, by selecting the Starred view. Starred items have a yellow star overlaid on their icon. To learn more, read starring and unstarring documents.
- Hidden documents. You can hide documents, so they will not appear in the main documents list view. To view hidden documents, select the Hidden view.
Notes:
- You can not star and hide documents shared to you with read-only permissions.
- You can also use your Google Docs Web page to manage your documents list. To open the Google Docs web page, click the Actions menu button and select Open Google Docs.
Creating folders and assigning documents to folders
Folders can help you keep your documents organized in your documents list. You can assign a document to one or more folders. Then you can select a certain folder view to view all the documents you have assigned to it.
Creating folders
To create a folder:
- Click the arrow next to the New button and select Folder.
- Give the folder a title.
To create a subfolder:
- Navigate to and open the parent folder.
- Create a folder as explained above.
Assigning documents to folders
To assign a document to a folder:
- Hover over the document you want to assign to a folder. Within the document frame, click the Folder icon to open the Folders dialog.
- A right-arrow next to the folder name indicates it has subfolders. Click it to view its subfolders.
- Check each folder you want to assign this document to.
- Click OK.
Tips:
- You can assign a document both to folders that you created and to folders that were shared with you with edit permissions.
- To automatically assign a new document to a folder, navigate to this folder and then create the document.
Starring and unstarring documents
To star a document or a folder:
- Click the star that is overlaid on the item's icon. The star turns yellow.
To unstar a document or a folder:
- Click the yellow star that is overlaid on the item's icon. The star turns white.
