Attaching and downloading documents

harmon.ie allows you to attach SharePoint documents to different areas in Microsoft Outlook. The SharePoint documents can also be downloaded as local copies to your computer, where you can work on them in a non-collaborative environment.

Attaching SharePoint documents to Outlook views

There are two simple methods for attaching a SharePoint document to Outlook:

  1. Drag it from the sidebar into an area of Outlook that supports receiving files (see list below). By default, a document link is created when you drag a document from the sidebar. Creating a link and not a document copy allows you to save storage space on your e-mail servers.
  2. Right-click the SharePoint document, and select the Copy command menu, to copy the Document, a Link to the document (places the document name with a hyperlink to its location as text on the Clipboard), or the Address of the document (places the URL of the document as text on the Clipboard). Then paste it in an area of Outlook that supports receiving files.

Note that SharePoint document links can be used only by users who have access to the SharePoint server, and have sufficient permissions to view the document.

You can drag SharePoint documents to these areas of Outlook:

  • An outgoing e-mail message body, for creating an e-mail attachment (read more in Working with e-mail), or to your Inbox, for creating a new e-mail message with links to the documents.
  • An appointment, meeting, or event's description, for creating a link to the document.
  • A task's description area, for creating a link to the document.
  • A contact's notes area, for creating a link to the document.
  • The Notes application to create a new note containing the document titles.

Configuring SharePoint drag-and-drop options

To change the default action of creating a link when attaching SharePoint documents, click the arrow in the lower right corner of the harmon.ie ribbon group, or select Options from the harmon.ie sidebar menu, open the Advanced tab, and select the check box Drag files instead of document links to Outlook.

To reverse the behavior set in the application options hold the Alt key while dragging a document from the sidebar.

Note:

  • This setting does not affect drag-and-drop operations to Windows Explorer, where document copies are always created.

Downloading documents from SharePoint

The document context menu lets you download SharePoint documents.

You can download a document from SharePoint to your computer by any of the following methods:

  • Drag one or more documents from the sidebar to the Windows Desktop or an open location in Windows Explorer.
  • Right-click a document and from the context menu, select Save As to display the Save As dialog in which you select a location on your computer where to save the document.
  • Right-click a document and select Copy > Document from the context menu. Then Paste the document to a location on your computer.
