Working with SharePoint documents and folders

To view document information:

Document information and commands

  1. Find the required document, and then tap its name.
  2. The Document Info opens and displays the basic information about the document, including: document name, icon, title, checked out to, last modified by, last modification date, version, size, and file type.
  3. Use the document commands:
  4. Tap the back button to navigate to the document's parent location.
  5. In addition, you can view the document location, and follow the document location in order to receive updates for changes made to it. You can also view the profile information of the people that last modified and checked out the document.

To copy a document link:

  1. View document information.
    -or-
    Find the required document, and swipe its name.

  2. Tap Copy Link (). This places the document name with a hyperlink to its location as text on the Clipboard, which you can then paste to an e-mail message or any other application.

To copy a folder link:

  1. Find the required folder, and swipe its name.
  2. Tap Copy Link (). This places the folder name with a hyperlink to its location as text on the Clipboard, which you can then paste to an e-mail message or any other application.

To open a SharePoint document:

  1. View document information.
    -or-
    Find the required document, and swipe its name.

  2. Tap Open With ().
  3. Tap one of the following:
    • The application you want to open the document with.
    • Open In to view more applications.

To edit a SharePoint document:

This feature does not apply to harmon.ie Mobile Lite.

  1. Open the SharePoint document in an editor application.
  2. Make your edits.
  3. Save your changes.
  4. Tap Open in > harmon.ie.
  5. Follow the upload process, and select Update Document to update the server with your changes.

  6. Replacing an edited file

To delete a document from SharePoint:

  1. View document information.
    -or-
    Find the required document, and swipe its name.

  2. Tap Delete (). Confirmation is required.

To delete a folder from SharePoint:

  1. Find the folder you wish to delete.
  2. Swipe its name.
  3. Tap Delete () to delete the folder and all its contents. Confirmation is required.
Swipe a folder to delete or send a link to it.

To view document properties:

  1. View document information.
  2. The Properties list is displayed in a table at the bottom. Scroll the list if it is too long to show in the Document Info.

Note: Persons and groups added using the Person or Group dialog are displayed in the Properties window as defined in SharePoint. For example, you can configure the column in SharePoint to show the selected person's or group's e-mail address, instead of name.

Document properties

To edit document properties:

This feature is not available in harmon.ie Lite.

  1. View document properties.
  2. Tap the Edit icon ().
  3. If the library has versioning support, you will be prompted to check out the document to start editing properties. Tap Check Out.
  4. In edit mode:
    • Read-only properties are not shown.
    • Required properties are indicated with an asterisk (*). If the value of a required property is empty, you will not be able to check in the document and it will not be available to other SharePoint users.
  5. You can edit the value of many property types directly in the grid of the Edit Properties pane. For more advanced property types, such as Multiple lines of text, Date and Time, Person or Group, Hyperlink, Managed Metadata, or Enterprise Keywords, tap the property value to open a pane or a pop-over from which you can edit the property value.
  6. Tap Done when finished.
  7. Tap Save to save to SharePoint.
  8. If the library has versioning support, you will be prompted to check in the document to make it available to other SharePoint users.

Editing document properties

To edit managed metadata and enterprise keyword properties:

This feature is not available in harmon.ie Lite.

  1. View document properties.
  2. Tap the Edit icon ().
  3. Tap the property value. A new pane opens, containing two tabs:
    • All shows all the available terms, in managed metadata properties, and is empty in enterprise keywords properties.
    • Selected shows all the terms that are already associated with the document.
  4. To locate a term, do one of the following:
    • (In managed metadata properties only) scroll to see all available terms. Tap the expand icon () next to a term set to view the contained terms.
      - or -
    • Start typing a term. A list of all matching terms shows.
  5. Tap the check sign next to each term or term set that you want to associate with the document.
  6. If you cannot find a matching term, tap Create to create a new term and associate it with the document.
    In managed metadata properties only:
    1. Tap Create in the root of the All tab, to create a new term.
    2. Tap Create in an expanded term set to create a new term under this term set.
    3. Tap and hold a term to turn this term into a term set and create a term under it.


  7. Tap the Selected tab to view all associated terms. Click the remove icon () to remove an associated term.
  8. Tap Done when finished.
  9. Tap Save to save to SharePoint.

Editing enterprise keywords properties

To edit People and Group properties:

This feature is not available in harmon.ie Lite.

  1. View document properties.
  2. Tap the Edit icon ().
  3. Tap the property value.
  4. To locate a people or group, type a part of the name and then tap the search button ().
  5. Tap the check sign next to each people or group that you want to associate with the document.
  6. Tap the Selected tab to view all associated people and groups. Click the remove icon () to remove an associated people or group.
  7. Tap Done when finished.
  8. Tap Save to save to SharePoint.

To check in / out / discard check out:

  1. View document information.
  2. Tap Check In (check-in) / Check Out (check-out) / Discard Check Out (discard).
  3. For check-in commands
    1. If both major and minor versions are being tracked in the document library, you are asked to select Version Type. Tap the version and select x.x Minor version / x.0 Major version. Tap Done.
    2. Optionally, fill in a check-in comment by tapping the Comments text view. Tap Done.
    3. Tap Check In, or Cancel to cancel the operation.

Supply a check-in comment.

To view the document location:

  1. View document information.
  2. Tap and hold the back button showing the parent directory. The breadcrumbs for the document shows. Click any parent directory to navigate to it, or Cancel to close.

To follow changes in SharePoint document libraries and folders:

You can follow the changes made in SharePoint libraries and folders. Libraries or folders need to be in the favorites list to be followed.

To follow a SharePoint library or folder, do one of the following:

To view the document changes:

To view the SharePoint documents updates, tap the Updates view. You can filter the list to view only document updates.

To view profile information:

  1. View document information.
  2. Tap the name next to Last Modified By or Checked Out To to view the Profile Info of this person.
