harmon.ie for SharePoint - Outlook Edition

Overview

  • What is harmon.ie?
    • harmon.ie (pronounced 'harmony') provides software solutions that advance social business by bringing collaboration to every business user, by aggregating document collaboration, enterprise social networking, unified communications, and other social tools into the email client and mobile devices, saving time and simplifying usability.
harmon.ie currently provides solutions for accessing SharePoint from the places where you spend your work day, like Lotus Notes, MS Outlook, iPad, iPhone, and BlackBerry, as well as providing access to Google Docs from Outlook.
Use harmon.ie to locate, share, and work on your documents quickly and easily, directly from your e-mail or mobile device. harmon.ie also allows you to search for people in SharePoint and communicate with them from unified communications tools, as well as receive social and document updates.
  • How does harmon.ie work?
    • harmon.ie is an Outlook add-in that uses the same standard Microsoft SharePoint Web Services and FrontPage APIs used by Office applications to communicate with SharePoint.
  • Does harmon.ie work with other Outlook plug-ins?
    • harmon.ie is compatible with a large variety of Outlook add-ins. If, however, you discover compatibility issues with other add-ins, report them using our forum.
  • How much does harmon.ie cost?
    • harmon.ie pricing starts at $4 / user /month. Volume discounts are available. To get exact pricing information, click here.
  • My whole department wants harmon.ie. What’s the best way to sign everyone up?
    • With the Free Edition of harmon.ie for SharePoint, each individual needs to download and install the software separately.
For those who want to use harmon.ie at the group or organizational level, an Enterprise edition is available. The Enterprise edition provides centralized deployment and provisioning, as well as additional features. Learn about the differences between the Free and Enterprise Editions
  • How secure is harmon.ie?
    • harmon.ie is an Outlook add-in which leverages the existing security infrastructure. If your SharePoint server is inside the corporate firewall, requests are sent inside the intranet. If your SharePoint implementation is configured to use SSL (https), all content is encrypted when it is sent to SharePoint.
harmon.ie uses the standard web services API provided by Microsoft to interact with SharePoint. User permissions are respected by the API calls; therefore, users can only view SharePoint content for which they have permissions.

Installing and Getting Started

Working with SharePoint Documents

  • Does harmon.ie ‘Search’ find text inside documents?
    • Yes. harmon.ie uses the built-in search engine of SharePoint. You can search text inside documents, as well as search document properties, such as 'document owner.'
  • Is there a way to navigate to a folder in the harmon.ie sidebar using a link in an email?
    • Yes. Simply paste the URL in the harmon.ie search/navigation omnibox and hit Enter.
  • Can I access SharePoint documents offline?
    • harmon.ie for SharePoint, Outlook Edition 3.2 supports the SharePoint option Connect to Outlook which synchronizes a SharePoint library or folder and makes its items available offline using Microsoft Outlook. Read How to connect a SharePoint folder to Outlook to learn how.
  • Can harmon.ie work with SharePoint (2010) lists / InfoPath for libraries?
    • No. Currently, only document and picture libraries are supported.
  • Is it possible to view a 'grouped' documents list?
    • Yes, harmon.ie supports 'Group By' views.
  • How do you make a ‘group by’ view the default view?
    1. Open the document library settings and make sure the 'group by' view is defined as the default SharePoint view.
    2. Open harmon.ie Options and select the SharePoint tab > Use the default SharePoint view.
    3. Navigate to this document library in harmon.ie and refresh the view.

Integrating e-mail and SharePoint

  • How do I send a SharePoint document as a physical attachment?
    • harmon.ie helps eliminate the need for document attachments. However, there are cases when you want to send an attachment, for example, when sending a document to a partner or customer who does not have access to the corporate SharePoint service. To send a document as an attachment, right-click it and select Copy > Document, then paste the document in the e-mail message. Alternatively, hold down the Alt key and drag the document from the sidebar to the email message. To make this the default behavior, change drag-and-drop options.
  • I uploaded an e-mail to SharePoint, but an e-mail with the same subject already exists. How can I rename it?
    • Uncheck Add as a new version to existing document(s) / Overwrite existing document(s) to rename the e-mail. In this case a running count is appended to the e-mail name.
  • How can I upload an attachment with a new name to replace an existing SharePoint document?
  • I am sending an e-mail with an attachment but I am not being prompted to save the attachment to SharePoint. Why?
    • Prompting to save attachments to SharePoint is set in your e-mail options.
  • How do I move an e-mail to SharePoint instead of copying it?
  • Does harmon.ie support Outlook rules?
    • Not currently. Supporting Outlook rules is planned in an upcoming release.
  • Is it possible to automatically populate the e-mail header metadata (from, to, cc, bcc, date...) in SharePoint columns?
  • Is it possible to set the mail content type for uploaded e-mail messages even if that is not the default content type for the SharePoint library?
  • Can I send an old version of a SharePoint document as an e-mail attachment?
  • I am annoyed by the “Do you want to upload the attachment to SharePoint” message box showing each time I send an e-mail. Can I cancel it from showing?
    • Yes, you can disable these prompts using the e-mail options. However, you should note that attachments saved to SharePoint are instantly shared with all other SharePoint users. This feature helps you to collaborate with colleagues on documents, prevents data leakage, and also saves storage space on the mail server.

Working with people

  • How can I communicate with a colleague?
    • Instant messaging is supported in the Enterprise Edition only. The business cards shown in the People tab and the people information pane include icons to Send an instant messageCall , or Send an e-mail message. Click an icon to start communicating with this person.
In addition, wherever a user name is displayed in harmon.ie, it is displayed with a presence awareness icon. Right-click this icon to start communicating with this user. To learn more, read Communicating with people.
  • How can I receive updates when someone changes the SharePoint files I work with?
    • To receive updates, add the relevant folder to the favorites list, and make sure that Follow library updates is checked. When a file in the folder is updated by someone, you are notified in the People tab > Updates view.

Troubleshooting

  • I have edited a non-office document, but my changes were not saved. Why?
    • When you open a non-Office document, a temporary copy of the file opens. Changes to this file are not saved on the server. To force applications to open the document directly on the SharePoint server, right-click it and select Edit. Read Editing non-Office documents for more information.
  • I have created a document set in harmon.ie, but it looks like a folder.
    • This is a current limitation: document sets can be created from the harmon.ie toolbar, but they look and behave as a folder associated with a document set content type.
  • While navigating, I cannot see subsites, only document libraries.
  • I want to communicate with a colleague, but instant messaging doesn’t seem to work.
    • You must be logged in to Microsoft Lync or Office Communicator for this feature to work.
  • I want to view the documents on My Site but they are not visible. Why?
    • When working with SharePoint online or when a custom My Site URL is configured, you have to map the My Site host URL to the SharePoint server URL. To learn how, read Using a Custom My Site Host in harmon.ie.
  • I sent an e-mail containing a link to a SharePoint document, but the link is not accessible to the recipients. Why?
    • SharePoint document links are available to your recipients only if they have access to the SharePoint server, and have sufficient permissions to view the document. If your recipients do not have sufficient permissions, they should follow the Request access link to request permissions to the attached document, from the site owner.

Free vs. Enterprise Editions

  • What are the differences between the free and enterprise editions of harmon.ie?
    • There are a few features that are available in the enterprise edition that are not available in the free edition. For more information, see the comparison table.
In addition, the free edition includes a single-user license that cannot be distributed centrally within an organization. The enterprise edition provides centralized deployment and provisioning for enterprise customers.
The free version license is limited to use by up to 15 users per company.
